Booking terms and conditions apply.
Auckland Conventions as a trading division of Tātaki Auckland Unlimited, reserves the right not to accept a booking.
Auckland Conventions also reserves the right not to confirm a booking if it becomes apparent that the nature of the event could be detrimental to Auckland Conventions or to the success of another event in our venues.
If you would like to place a pencil booking for the dates outlined above, please advise your account representative by phone or email.
We will hold your pencil booking for a period of fourteen (14) days.
If we receive an enquiry from another hirer during this 14-day period, we will inform you of this, but will not formally challenge your pencil booking. (Please see below for challenge process).
Once the 14-day period has passed (on the 15th day), and we have not been contacted by you to either:
Extend your pencil booking (to an agreed time period)
OR
Contract and confirm your booking
Auckland Conventions reserves the right to take a booking from another hirer that wishes to go ahead and confirm. Should this happen, Auckland Conventions reserves the right to book and confirm with the other hirer, without requesting your permission to do this.
Challenge procedure
If the date you require is tentatively booked by another party you may issue a challenge to the current booking, the other party have three days to confirm or release their booking.
If the challenge falls in your favour you are required to proceed to contract your event and secure it with a deposit within 7 days.
Deposit schedule
For bookings made more than 6 months prior to the event, 50% of the minimum venue rental is due
For bookings made between 3 - 6 months prior to the event, 75% of the minimum venue rental is due
For bookings made less than 3 months prior to the event, 100% of the minimum venue rental is due
Auckland Conventions reserves the right to request full payment or all known event cost’s 5 working days prior to the event at its discretion.
Competition for dates
When there is more than one potential client seeking dates, Auckland Conventions may require the first booked client to pay the full deposit at any time to secure the date(s). Failure to pay the deposit within three business days shall result in the date(s) being made available to the tentative booked client upon payment of the required deposit.
Cancellation of a confirmed event
Cancellations 3 months or less prior to the first day of booked date(s) will result in the client becoming liable to pay the full venue rental (100%).
Cancellation more than 3 months and up to 6 months prior to the first day of booked date(s) will result in the client becoming liable to forfeiture of the 75% deposit.
Cancellation more than 6 months prior to the first day of booked date(s) will result in the client becoming liable to forfeiture of the 50% deposit.
When a client becomes liable for cancellation fees Auckland Conventions shall invoice the client for the appropriate amounts less any deposits held.
